Living Hope International Ministries – Latham, NY

Living Hope is a bible-based collection of fellowships and churches dedicated to reaching the lost with God's glorious gospel of the kingdom as well as fostering genuine discipleship among Christ-followers through teaching, events, and community. We are looking for a motivated fulltime administrative assistant to support our work both locally and abroad.

This position includes managing office supplies, performing receptionist tasks, publishing our weekly Sunday program and quarterly journal, and directing the flow of information. We are looking for someone who is friendly, professional, and trustworthy. Skills required include communication in person and online, event planning, desktop publishing, and volunteer management. Strong computer skills (MS Office, email, social media, etc.) required. Experience with Quick Books, website maintenance (Wordpress), graphic design, shipping, and/or publishing is preferred. This full-time position will average fourty hours per week. Compensation starts at $15.00 per hour. Living Hope International Ministries is located at 458 Old Niskayuna Road, Latham, NY 12110.

Job Description:

  • Reception tasks include answering the phone in a cheerful and professional manner, taking messages, and handling visitors (UPS, elevator guy, fire inspector, sales people, etc.)
  • Information Flow: make sure messages, mail, connection card info, and emails get to the right people. Get back with people who sign up for events or request information about something.
  • Event management: whether small or large, all event registrations go through the secretary, which may include some basic graphic design, generating welcome packets, keeping track of who signed up and how much they paid, etc.
  • Sunday Service: gather necessary information (sermon notes, song list, upcoming events, other announcements) and produce the program and connection card as well as put notes online prior to service
  • Mail all outgoing bills, letters, packages, and Glad Tidings.
  • Manage Glad Tidings including receiving articles via email, putting them into a single Publisher document, working with the proofreader, printing, and mailing.
  • Produce bookstore materials including CD and DVD classes and study guides when needed.
  • Manage office supplies including the Xerox machine, paper, envelopes, labels, blank CDs/DVDs, etc.
  • Handle some financial transactions including wiring money for the Congo Children’s fund, reimbursing people for purchases, paying the cleaners and grounds keeper, handling petty cash, and writing a check each week for refreshments purchase. Everything must have a receipt.
  • Work with volunteers to offload as many tasks as they are willing and able to complete. Check up on them and make sure they are not bored or over worked and that all tasks get done.
